Board Meeting Minutes

Date: Oct 8, 2026

The meeting was called to order at 5:31 pm at the Stewart County Library by Rick Reddish.

Attendance:

Rick & Anne Hale (by phone), Mia Schlosser, Rick & Melinda Reddish, Donnie Moss, and Charlotte & Ralph Robinson.

Proof of Notice:

Proof of notice was sent Sept 30, 2026.

Approval of Minutes:

Rick Reddish made a motion to approve the Sept 10, 2026 minutes. Rick Hale seconded the motion and the motion carried.

Chairperson Remarks:

****NOTE: Servall will be coming toward the end of October to do our Termite Inspection/Treatment--specific date to be determined. If you have a basement, it is very important that you are home to let them into your basement.

Two Ft. Donalson employees came to inspect the two dead trees behind building 2, although they haven't shared their opinion with us yet.

Joe Hamm is working up an estimate for placing riprap on the slope below building 6 to help control the erosion.

One home owner reports that Sherwin Williams will be having a 40% off sale on deck stain toward the end of October. Yes, it is time to wash and stain your deck, if you haven't already.

Rick reminded owners that he still needs copies of homeowners insurance (front page only, showing current interior dwelling coverage amount) from all homeowners.

Please remember to send a copy of your dwelling insurance to the Chairperson---digitally, by snail mail, or a printed copy in white box at #116.

Committee Reports:

Legal Update, Insurance:

Regarding the Parker Excavation lawsuit, the claim was sent to Chancellor Court in Dover Oct 8th. They will serve papers to Parker, and he has 30 days to respond. We are asking for $38,000 plus legal fees.

Financial Report:

As of Oct 5th, 2026:

• Checking balance: $20,145.88

• Roofing Reserve: $21,887.17

• Insurance Reserve: $8890

• Project/Repair Reserve: $7700

Grounds and Building Maintenance:

Recent work done:

Free Land Construction repaired #148's deck, as well as #151's deck. We also had some electrical work done on our entrance lights by Jimmie Sanders.

We have received estimates for and are scheduling several other projects to be done this month, starting with #111's deck repair.

We are still looking for bids on the chimney repairs.

New work orders:

#150 sent a work order concerning the erosion occurring on the slope below building 6, as well as underneath his deck

#123 reported an exterior pipe leakage problem.

#151 reported siding deterioration on his chimney and a cracked foundation.

November 12, 2026, at 5:30 pm at the Stewart County Library.
