Board of Directors Meeting Minutes

Date: July 9, 2026

Location: Stewart County Library

Meeting called to order by Rick Reddish at 5:30pm.

Those Present

Approval of Minutes

  • Mia moved to approve the June meeting minutes.

  • Pattie seconded the motion.

  • The motion was approved unanimously.

Proof of Notice

  • Proof of notice was sent June 30, 2026.

Chairperson Remarks

  • Rick discussed that although the Association has a no-rental clause, the Matthews (unit #143) were granted a temporary one-month lease exception to allow them to move out of their former home during the closing process.

  • Rick noted the letter to Fort Donelson regarding the dead trees behind Unit 141 has not yet been sent; this item will remain on the agenda.

Insurance

  • Rick Hale has been in contact with attorney Ms. Bowser regarding Parker Excavation, and whether the Association should file a lawsuit concerning whether Parker exercised due diligence before removing an entire foundation without West Bend's permission.

  • There will be a $2,300 fee from the attorneys to attempt to obtain a settlement.

  • Homeowners who haven't already done so are advised to check with their insurance companies to ensure they have adequate coverage for the interior structures of their unit.

Financial

  • Current checking balance: $18,818.56

  • Roofing reserve: $16,787.17

  • Insurance reserve: $8,290

  • Project/Repair reserve: $5,900

  • Total maintenance spent: $5,090.71

  • Misc: Memorial gift- $23.99

  • Reserve domain name of website RPCOA.net will be $36.38

  • The Asquith estate was settled and paid us $5,500, which is reflected in the June balance.

Grounds and Maintenance

  • Mia discussed Grounds and Maintenance.

  • Freeland Construction has done some small jobs on deck repairs.

  • It was discussed that Melinda will be receiving invoices, and that jobs will need to be inspected and approved before she issues checks. So please don't promise contractors that their check will be issued immediately after work is completed.

  • Work orders received from homeowners will continue to be prioritized by severity and anger to residents, and completed as quickly as possible as funds are available.

  • Pattie Wilders made a motion to adjourn the meeting.

  • Ann Cheatham seconded the motion.

  • The motion was approved and the meeting was adjourned at 6:32pm.
